Complaining Like A Pro 101 - Writing A Really Effective Complaints Letter
There is just no way of getting around it. The hair colour you bought that promised to give you a flaming, russet mane has turned you into a true blue Avatar extra 3 hours before your BIG date. Although most of us won’t have to deal with a vivid shock of Windsor blue hair we will all need to express our dissatisfaction with bad service or poor products at some stage. This is where that killer letter of complaint can deliver the goods where all else fails.
When you get to the point where a letter of complaint is the only avenue left to you always try and find out exactly who should deal with the complaint and address the letter specifically to them. Vague “Dear Sir” letters tend to go walk-about and seldom make it passed the trash can. Addressing the letter to a specific individual forces them to take responsibility for the issue.
No matter how angry you may be or how serious the issue was it is usually good practice to start proceedings off on a positive note with references to the points you like about the company. This will set a positive mood and pave the way for a positive outcome.
Try and highlight the positive experiences you have had with the company and the fact that you would like to continue that relationship. This does set a positive or at least neutral tone to the proceedings and often wins the fight before the first bell. Then go on to outline the event that caused your dissatisfaction.
When doing this attempt to be clear concise and to the point. Never drag unrelated or old grievances or concerns into the issue in an attempt to add emphasis. This just clouds the issue and tends to destroy your credibility before you get out of the blocks. Only use past events if they are directly relevant to the present issue.
Being overly aggressive or abusive will also do your cause no good. Aggression gets peoples hackles up and that is usually where the battle is lost. That said don’t simper or appear to be cowed by the situation. One needs to maintain a civil but resolute attitude throughout which will demonstrate that you are calm and controlled by not to be messed with.
Always make sure that you include all register slips, invoices or past correspondence that may relate to your complaint with the letter. These are usually non-negotiable in resolving complaints and are very important. Remember to send copies and keep the original documents in a safe place.
The complaints letter should be closed off by making your expectations clear regarding a resolution. Just keep it real as unreasonable demands are likely to get the complaint written off as being nothing more than opportunistic chance taking.
