Defining POS Systems?
POS means Point of Sale.
Can be a broad definition which includes merchandising aids, displays and the methods used to enable transactions.
In our case, we will be talking about the hardware and software that runs the front counter and back office operations of any business.
In a small craft store, a basic POS system would consist of a computer, cash drawer, barcode scanner, receipt printer and the appropriate POS software. For a service organization, like a lawn care company, wouldn’t need be a cash drawer or a receipt printer.
Although, they might want to use a laser printer for their service invoices.
Then again, you can easily customize a POS system for your particular business.
Remember that the central nerve of your retail POS system is the computer that runs your POS software.
We know and understand the temptation to use an older computer or even those really cheap models available at “superstores”.
But remember, if you use this from the start, your business will be depending on these easily worn out equipments, so a good quality computer is a must.
If you seek to have high quality use a custom built POS system, name brand parts and you can rely on it for many years!
The same advice goes for all the other POS components.
You can get the job done using a basic cash drawer, but the heavy duty models really are built better and will last longer.
A CCD barcode scanner is more reliable than the old pencil type wands, but they’re still designed to work with flat, easy to read barcodes.
About laser scanners, they not only have a greater range, but the laser can wrap around bottles, bags or follow irregular shapes much better than the CCD models.
While barcode scanners are improving, so is the printer technology. This machine that performs dependably under heavy use of the industry is used to be a dot-matrix printer, and they’re still fairly popular, but thermal technology is faster, quieter and reasonably priced.
UPS or Uninterruptible power supplies, or battery back-ups, are easy to afford and will keep you up and running during power glitches or short outages. Remember, you will be depending on this equipment. If you’re going to be using it a lot, don’t hesitate to spend some extra money and buy the heavy duty UPS models and units.
Keep in mind that your retail point of sale system doesn’t only provide you the control over your business, it also puts a wealth of info at your finger tips.
Imagine being able to compare months and even years to date of sales transactions with just a few keystrokes. A database of your customers can be a powerful marketing tool.
A POS system can also track your inventory, automatically creating order lists as needed, even adjusting quantities for seasonal demand.
To sum it all, POS systems can keep you on the race and not get left behind.
